Atlantic Food Bars grew without another office hire.
Atlantic Food Bars builds hot and cold food equipment for national grocery chains. Orders kept climbing, and the office was about to hire another person just to keep up. Instead, software now does the typing and the team checks it.
The problem
Every order arrived as an email with a PDF. Someone opened it, read it, and typed it into the system by hand: the order, the job, the paperwork that goes with it. Then did it again for the next one.
More orders meant more typing. The plan was a new hire at over $60,000 a year, and the next hire after that.
What we built
Software that reads each order email the moment it lands and fills out the work for the team.
Nothing goes through on its own. A person on the team looks it over, fixes anything that needs it, and approves. Every step is logged.
How an order moves now
- Email arrivesA customer sends a PO, like always.
- Software reads itCustomer, items, quantities, dates, ship-to.
- The work is filled outOrder, job and paperwork, drafted in their system.
- A person checks itReview, fix if needed, approve. Done.
The result
- No new hire needed to keep up with growth
- The same 8 people handle more orders
- The rules that lived in one person's head now live in the system, so handoffs are clean
- Since then: purchasing, parts, shipping and quality checks, desk by desk
