Order entry automation in Dallas-Fort Worth

Updated October 17, 2026 · Miguel Gutierrez, Co-Founder, Peekgentic (Dallas, TX)

Short answer: if your team in Dallas, Garland, Mesquite, Richardson or anywhere in DFW retypes customer POs from email into your system, that typing can be automated. Software reads each PO, matches the lines to your item numbers and drafts the order in the system you already use. Your person approves it. We are a Dallas team, so the first step is a free 20-minute visit to watch your order desk, under an NDA if you want one.

What we see at DFW order desks

Most of the manufacturers and distributors we visit around Dallas-Fort Worth have the same setup. Orders land in a shared inbox like orders@ or sales@, as PDFs, scans, spreadsheets and plain emails. One or two people open each one, look up the customer's part numbers, and type the order into Sage, Epicor, QuickBooks or another ERP. Then the same details get typed again for the job ticket, the packing list and the invoice.

It works, until volume goes up or someone is out. Then orders wait, mistakes slip through, and the answer is usually another hire.

How order entry automation works

  1. The inbox is watched. New orders are picked up as they arrive, attachments included.
  2. Each PO is read. Customer, ship-to, items, quantities, prices and dates come off the email or PDF, whatever the layout.
  3. Lines are matched. Customer part numbers are matched to yours. Anything unclear is flagged, never guessed.
  4. The order is drafted in your system, the way your team enters it today.
  5. A person approves. Nothing is final until someone on your team says so, and every step is logged.

What it looks like after

For our first client, a food-equipment manufacturer that supplies national grocery chains, work that took the team four hours now takes fifteen minutes, and the programs we built have saved them over $100K in under eight months. More on how we work.

Why a local team helps

The step-by-step version, with what to gather before you start, is in how to automate order entry from email and PDF purchase orders.

We build this for you. Custom software built around how your team already works: order processing, purchasing, parts and service orders, reports, AI assistants and more. A person approves every step, and nothing has to be replaced. See it: Order processing, custom-built → · Try it on a sample inbox → · Everything we build
