AI sales order entry for QuickBooks: what works in Online and Desktop

A plain guide for manufacturers and distributors on QuickBooks: which editions have sales orders, how software can create them from emailed customer POs in QuickBooks Online and Desktop, what Intuit's own AI does and doesn't do, and what to keep with a person. Based on Intuit's own help and developer pages.

In brief

Yes, software can read a customer's emailed PO and draft the sales order in QuickBooks for a person to approve. In QuickBooks Desktop Premier and Enterprise, it goes in through Intuit's Desktop SDK. In QuickBooks Online Plus and Advanced, sales orders are native now, but Intuit's Sales Order API is restricted to its Gold and Platinum partners, so many tools create an estimate or invoice instead. Intuit's own AI turns customer emails into estimates, not POs into sales orders. Keep pricing exceptions, credit and new customers with a person.

  • QuickBooks Online Plus and Advanced now have native sales orders; Desktop has them in Premier and Enterprise, not Pro.
  • Intuit's new QuickBooks Online Sales Order API is restricted to Gold and Platinum partners, so many tools draft estimates or invoices instead.
  • On Desktop, software creates sales orders through the SDK and Web Connector, with no firewall ports opened.
  • Intuit's AI turns customer emails into estimates; it doesn't map a customer's PO to your items.
  • Automate the reading, matching and drafting; keep approvals, price exceptions and credit with a person.

The job you want to stop doing

Here's the routine at a lot of 40 to 400 person manufacturers and distributors on QuickBooks. A customer emails a PO as a PDF. Someone opens it, finds the customer in QuickBooks, types each line, matches the customer's part numbers to yours, checks the price, enters the ship-to, and saves the sales order. Then the next one. On a busy day it's most of a person's job.

AI sales order entry for QuickBooks means software does that typing. It reads the PO, finds the customer and items, and drafts the order. A person checks the draft and approves it. This guide covers what QuickBooks allows, edition by edition, using Intuit's own help pages and developer docs as of October 2026. Check the details for your version with your QuickBooks ProAdvisor.

First: which QuickBooks are you on?

The answer changes depending on whether you run QuickBooks Online or QuickBooks Desktop, and which edition.

Sales orders by QuickBooks edition

EditionSales orders? How software can create them
QuickBooks Online Plus, Advanced, Intuit Enterprise SuiteYes, nativeSales Order API (restricted to Gold and Platinum partners), or draft an estimate or invoice through the standard API
QuickBooks Online Simple Start, EssentialsOnly with the paid Inventory add-onSame as above
QuickBooks Desktop Premier and EnterpriseYesDesktop SDK (qbXML SalesOrderAdd) through the Web Connector
QuickBooks Desktop ProNoEstimates or invoices only

A few details from Intuit's pages matter here. In QuickBooks Online, a sales order is a non-posting transaction. It reserves inventory without touching your books, and you convert it to an invoice or a purchase order when it's ready. Older forum answers that say QuickBooks Online has no sales orders are out of date; Intuit's help page was updated in August 2026. On Desktop, Intuit's developer reference says plainly that you can create sales orders only with QuickBooks Premier and above.

Company size matters too. Intuit says QuickBooks Online Advanced supports up to 25 users, and QuickBooks Desktop Enterprise, in its top Diamond tier, supports up to 40. And if you're on Desktop Pro or Premier, note that Intuit stopped selling new U.S. subscriptions to those products after Sept. 30, 2024. Existing subscribers can keep renewing, and Enterprise is still sold. Intuit says it is not ending the product line.

QuickBooks Online: how orders get in

There are three routes for software to put a customer's order into QuickBooks Online.

  1. The Sales Order API. Intuit added it in September 2026. Its own guide says the API is only available for restricted use, and the getting-started page says it is available to Gold and Platinum tier partners. Those are paid tiers in Intuit's App Partner Program. So whether a tool can write true sales orders depends on the vendor's partner tier. Ask.
  2. Estimates or invoices through the standard API. QuickBooks Online's regular REST API creates invoices and estimates. Intuit's partner FAQ says calls that create or update records like invoices are "Core" calls, which aren't metered. Many tools draft an estimate, and a person converts it to a sales order or invoice inside QuickBooks. Intuit's API allows 500 requests per minute per company, far more than an order desk needs.
  3. CSV import. QuickBooks Online can import invoices from a spreadsheet, up to 100 at a time. But Intuit says that if you have sales tax set up, you can't import invoices this way. For most distributors that rules it out.

QuickBooks Desktop: how orders get in

Desktop is more direct. Intuit's Desktop SDK has a SalesOrderAdd request that creates a sales order, and the order can later be converted into an invoice. The software talks to QuickBooks through the QuickBooks Web Connector, a small Windows program on the QuickBooks machine. Intuit notes that every connection starts from that machine, so there's no need to open firewall ports. The Web Connector version has to match your QuickBooks version, so plan the setup with whoever runs your server.

What about Intuit's own AI?

Intuit has added AI agents to QuickBooks Online, now branded Intuit Intelligence. It's worth knowing what they do before you buy anything else.

  • Intuit's Payments AI page says it works with Customer AI to turn customer emails into ready-to-review estimates. It's available in Essentials, Plus, Advanced and Intuit Enterprise Suite.
  • Intuit's invoicing on autopilot feature, in beta with monthly usage limits, can scan saved documents, such as statements of work or sales orders, and draft invoices for you to review.

Both are useful, and both keep a person reviewing, which is the right call. What we didn't find on any Intuit page is a feature that reads a customer's PO and creates a QuickBooks sales order with your part numbers, units and contract prices. If your customers send simple requests, Intuit's tools may be enough. If they send POs in a dozen layouts with their own part numbers, that's the gap a custom build fills.

Intuit's AI drafts estimates from email. The customer's PO, with their part numbers, is still on you.

What to automate, and what to keep with a person

Split the work

Let software do itKeep with a person
Read the PO from the inbox, any layoutApprove every draft before it saves
Find the customer and ship-to in QuickBooksSet up new customers and ship-tos
Map the customer's part numbers to your itemsDecide when a part number maps two ways
Check price against the price level or last orderApprove price exceptions and discounts
Flag duplicates (same PO number twice)Credit holds and terms
Draft the sales order, estimate or invoiceAnything the software flags as unsure

The part-number map is where most of the value sits. Your people already carry it in their heads: this customer's "AC-778" is your "BRK-SS-0400," sold by the case. Writing that list down is the first step of any automation, and it protects you when a veteran on the order desk retires.

Where the other side has a point

If you get ten orders a day, and most come from the same five customers in the same format, a full build may not pay off. A good template, an Intuit feature, or a simple off-the-shelf tool may do. And QuickBooks has real limits for a growing company: if you're near the user caps or running into inventory or costing limits, the bigger question may be your ERP, not order entry. We wrote about that choice in automating without replacing your ERP.

A rough marker for cost: APQC's open benchmark of 2,878 organizations puts the median total cost of managing sales orders at $1.00 per $1,000 of revenue. That covers the whole process, from inquiries and quotes to order entry, not typing alone. Measure your own: orders per day, minutes per order, and how often an order gets corrected after it's entered.

How Peekgentic does it

We build order entry around the QuickBooks you already run. Software reads customer POs from the order inbox, matches each line to your customers, items and prices in QuickBooks, and drafts the order with the PDF beside it. Anything that doesn't match gets flagged instead of guessed. A person on your team approves, and the order goes into QuickBooks through the route your edition supports. Common questions

Can AI enter sales orders in QuickBooks?

Yes. Software can read a customer's emailed PO and draft the order in QuickBooks for a person to approve. In QuickBooks Desktop Premier and Enterprise it uses Intuit's Desktop SDK (SalesOrderAdd) through the Web Connector. In QuickBooks Online it can use Intuit's Sales Order API, which is restricted to Gold and Platinum partners, or create an estimate or invoice through the standard API.

Does QuickBooks Online have sales orders?

Yes, as of 2026. Intuit's help page says you can create sales orders in QuickBooks Online Plus, Advanced and Intuit Enterprise Suite; Simple Start and Essentials need the paid Inventory add-on. A sales order reserves inventory without affecting your books and converts to an invoice or purchase order. Older forum posts saying QuickBooks Online has no sales orders are out of date.

Is there a QuickBooks Online API for sales orders?

Intuit added a Sales Order API in September 2026. It is GraphQL-based, currently for restricted use, and available to Gold and Platinum tier partners in Intuit's App Partner Program. Invoices and estimates still go through the standard REST API.

Does QuickBooks AI create sales orders from customer POs?

Not that Intuit describes. Intuit's Payments AI works with Customer AI to turn customer emails into ready-to-review estimates, and invoicing on autopilot (beta) drafts invoices from saved documents. We found no Intuit page describing a feature that turns a customer PO into a QuickBooks sales order with the customer's part numbers mapped to your items.

Can QuickBooks Desktop Pro do sales orders?

No. Intuit's developer reference says sales orders can be created only in QuickBooks Premier and above. Pro users can use estimates or invoices.

Can I import sales orders into QuickBooks Online from a spreadsheet?

Intuit's help pages describe importing invoices, up to 100 at a time, but not if sales tax is set up in your account. For most distributors with sales tax, an API-based tool is the practical route.

Who automates QuickBooks order entry in Dallas?

Peekgentic is a Dallas firm that builds custom AI automation for 40 to 400 person manufacturers and distributors, including order entry into QuickBooks Online and Desktop. Software reads customer POs, matches customers, items and prices, and drafts the order; a person approves before it goes into QuickBooks.
